2. What personal data we collect and why we collect it

This section of the privacy policy identifies what personal data we collect from users and site visitors. This may include personal data, such as name, email address, personal account preferences; transactional data, such as purchase information; and technical data, such as information about cookies.

Registration process

The registration process includes the processes of signing up and login to as a user. When users sign up to, we collect the following data: username, email address and password. When users sign in to, we verify the username and password with the user’s information provided to sign up. The personal information of the user is stored in the user’s dashboard, My Dashboard. This information can be edited by the user. The username is not able to be edited.

The registration process requires visitors to consent to the Terms and conditions and Privacy policy applicable to using A link to these documents is provided on the sign up form or page. When a user agrees to the Privacy policy, they agree to the information provided for the registration process to be used for this purpose.

Provision of services

We will use information provided during the registration process including the user’s email address and username to send confirmation emails relating to providing services users. This includes the:

  • successful registration of a new user
  • purchase of a new advertising package
  • successful uploading and publishing of a business advertisement
  • change to the user profile, for example, password is changed
  • notification of changes to the provision of services, changes to policies including terms and conditions, privacy policy and website disclaimer.


When visitors and registered users leave comments/review on we collect the data shown in the comments/review form, and the visitor/user’s IP address and browser agent string to help spam detection.

An anonymised string created from your email (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here. After approval of your comment/review, your profile picture is visible to the public in the context of your comment/review.


A variety of media formats can be uploaded to Media formats include images, 360 degree images and video url.

Users can upload media for the following purposes:

  • owner manager profile
  • business logo
  • products and services for advertisement.

If you upload media to, you should avoid uploading media with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from media on the website.

Contact forms uses contact forms for the following reasons:

  • to allow visitors or registered users to contact us
  • for owners managers to provide information for the promotion of their business
  • to collect feedback and suggestions.

We only use information collected on the contact forms to provide the appropriate customer service or support. The information submitted is not used for marketing purposes.

Subscription to mailing list

Users can choose to subscribe to our mailing list by selecting the subscribe button. This process is not automatic, it is generated by the user. If a user decides to join our mailing list, their details including name, email address and preferences for information are stored on our mailing list managed by MailChimp.

The MailChimp mailing list subscription is not sold to third parties and the information provided by users is only used by to send information relating to the user’s preference. Users can unsubscribe at any time from the mailing list and change their preferences.


If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you sign in to, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you sign in, we will also set up several cookies to save your sign in information and your screen display choices. Sign in cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your sign in will persist for two weeks. If you sign out of your account, the sign in cookies will be removed.

Embedded content form other websites

Articles on this site may include embedded content (for example, videos, images, articles, etc.). Embedded content from other websites behaves int he exact same way as if the visitor has visited the other website.

We use Google Analytics to track visitors to our site. The following cookies are used on

_gat – used by Google Analytics to throttle request rate, expires in 1 day

collect – used by Google Analytics to send data to Google Analytics about the visitor’s device and behaviour. Tracks the visitor devices and marketing channels, expires in session.

_gid – registers a unique ID that is used to generate statistical data on how the visitor uses the website, expires in 1 day.

_ga – used to distinguish unique users by assigning a randomly generated number as a client identifier. It is included in each page request and used to calculate visitor, session and campaign and for the analytics reports. It is set to expire in 2 years.

3. Who we share your data with

We do not sell or share your data directly with third party service providers. We use PayPal and Stripe for processing purchases of advertising packages. We do not store payment information on our website.

PayPal privacy policy

Stripe privacy policy does not collect, sell, rent, or otherwise distribute email addresses or any personal information. We also do not solicit or collect any emails unless you make a request for reuse of our content or advertising enquiries or other general enquiry via media or in person. All discussions by email or phone are completely confidential unless we obtain written consent from you.

4. How we retain your data

For users that register on, we also store the personal information they provide in their user dashboard, My dashboard. All users can view, edit, delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Automatic emails are generated to the user if any personal details are amended in the user dashboard by website administration.

My Dashboard, provides opportunity for registered users to enter their social media URLs, additional contact details including phone number and a profile image. will not use or distribute any of this information for marketing or profiling reasons. Information entered into My Dashboard is available in business advertisements. Users can choose alternative contact information to protect their privacy in business advertisements.

When using our owner manager profile page to promote businesses, we will collect additional information relating to the context of your contact with us. We will not use any information provided for any other reason.

If users leave a comment or review, the information and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

5. What rights you have over your data

If you have an account on, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal or security purposes.

You have the right to contact us regarding the use of your personal data and we will comply with your requests to obtain a copy of your personal information, delete or remove data, to correct inaccurate data.

Visitor comments/review may be checked through an automated spam detection service.

7. Additional information

Property advertisements including their content and images, video, and 360 degree images may be used for social media marketing. When you advertise a business service/product with you agree to your advertisement being shared on one or more social platforms by which may include Facebook, Instagram, Twitter, Pinterest, Google Plus, You Tube and Vimeo.

Business advertisements contain contact information which your provided during the creation of the advertisement. You may request your business advertisements and the images including 360 degree and video link are not used in social media campaigns. Contact us via email at to notify us in writing.

8. How we protect your data is a secure website. Security measures are implemented at all levels including the service, local devices, and web application. We use anti-spamming software to protect the contact details of users where possible. All visitors can access contact details published with the business advertisement.

We will never sell your personal data. We will not share personal information within Open4rent Pty Ltd portals. Personal data provided by users in stays with and is not shared with our other sites/brands.

We do not store payment information. We record transactions only that do not include payment information. This information is used for accounting purposes.

9. What data breach procedures we have in place

We receive transactional information relating to the purchase of advertising packages from PayPal and Stripe. This information does not include payment information.
